Privacy Policy
Last updated: 3 November 2026
SoftTalk is an AI receptionist that answers phone calls for small businesses. This policy explains what information SoftTalk collects, how we use it, and the choices you have. SoftTalk is operated by Bottalk Solutions Private Limited, M106, Sector 25, Jal Vayu Vihar, Noida, Uttar Pradesh 201301, India ("SoftTalk", "we", "us").
Who this policy covers
- Customers: businesses that sign up for SoftTalk, and the people who use their accounts.
- Callers: people who phone a customer's number and speak with the SoftTalk receptionist. For caller information, we act on behalf of the customer whose number was called; that business decides why the call is answered and what happens with the details.
Information we collect
- Account information: name, business name, email, phone number, login details, billing details.
- Business information: opening hours, services, prices, documents and website content you give us so the receptionist can answer questions, and the receptionist's settings.
- Call information: the caller's phone number, call time and length, the call audio while it is processed, call recordings (where recording is turned on), transcripts, summaries, messages taken, and appointment details booked, changed or cancelled.
- Calendar information (only if you connect Google Calendar): see Google Calendar data below.
- Payment information: handled by our payment provider (Razorpay). We do not store full card numbers.
- Technical information: log data, IP address, browser type and cookies needed to keep you signed in and to protect the service.
How we use information
- To answer calls, give callers the business's approved information, take messages and book, reschedule or cancel appointments.
- To show customers their call history, transcripts, summaries and bookings, and to send the confirmations and reports they ask for.
- To bill customers for usage, provide support, and keep the service secure and reliable.
- To improve SoftTalk's quality, using our own review of calls and test conversations. We do not sell personal information, and we do not use it for advertising.
AI processing
During a call, the caller's speech is converted to text, the receptionist's reply is generated by an AI model, and the reply is spoken in a synthetic voice. These steps are performed by the service providers listed below, under contracts that only let them process the data to provide their service to us.
Service providers we share information with
| Provider | Purpose |
|---|---|
| DigitalOcean | Hosting of the SoftTalk platform |
| Plivo, Twilio | Phone calls and text messages |
| Deepgram | Speech-to-text |
| OpenAI | AI replies, summaries and knowledge preparation |
| Murf, ElevenLabs | Synthetic voice |
| Calendar availability and bookings, when a customer connects Google Calendar | |
| Brevo | |
| MSG91 | Text messages to Indian numbers |
| Razorpay | Payments |
We may also disclose information when required by law, to protect the rights and safety of SoftTalk, our customers or others, or as part of a merger or sale of the business, with notice to customers.
Google Calendar data
When a customer connects Google Calendar, SoftTalk accesses only what it needs to book appointments: the customer's free and busy times on the selected calendar, and the events SoftTalk creates, changes or cancels for callers. We do not read the content of other events beyond their busy times, we do not use Google data for advertising, and people at SoftTalk read it only with the customer's permission, for security, or where the law requires.
SoftTalk's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Customers can disconnect Google Calendar at any time in SoftTalk's settings or in their Google Account; we then delete the stored access token.
Call recording and caller notice
Where a customer turns on call recording, the receptionist can tell callers at the start of the call that the call may be recorded. Customers are responsible for meeting the call-recording and consent laws that apply to them and their callers, including US states that require every party's consent.

Your choices and rights
Customers can view, export and delete their call data and close their account. Callers who want their information accessed, corrected or deleted can contact the business they called, or write to us at anand@softtalk.in and we will pass the request to that business and help it respond. Depending on where you live (for example California), you may have further rights, such as knowing what we collect and asking us to delete it. We do not sell personal information or share it for cross-context behavioural advertising.
Children
SoftTalk is a business service and is not directed at children under 13.
Where information is processed
SoftTalk and its providers may process information in India, the United States and other countries where they operate, with safeguards required by applicable law.
